Terms of service
Two sets of people use Estate Hub: the estate that subscribes to it, and the residents the estate invites. Part A is for the estate. Part B is for everyone who signs in. Both are written to be read. Questions go to support@getestatehub.co.uk.
Who we are
Estate Hub is a residential portal for estates and blocks of flats, made in London. In these terms “we” means the provider of Estate Hub, contactable at support@getestatehub.co.uk. “The estate” means the management company, residents' management company, right-to-manage company or managing agent that subscribes on behalf of a building or estate. “Residents” means everyone the estate invites: leaseholders, tenants, landlords, household members, staff and contractors.
Part A: for the estate
The subscription
- Every new estate starts with a 90-day free trial with every module switched on. No card is needed to start. If you do nothing at the end of it, the estate goes read-only; nothing is deleted.
- After the trial, the estate subscribes on the plan that fits its size, paid monthly by card or annually by invoice. The price is agreed in writing before anything is charged and does not change during a paid period. Prices exclude VAT where it applies.
- The subscription renews automatically at the end of each period unless cancelled. You can cancel at any time from the admin console or by email; the estate stays in service until the end of the period already paid for. We do not refund part-periods, except where the law requires it or we have fallen short of these terms.
- Residents never pay anything. There are no in-app purchases, no advertising and no sale of data, and we will not introduce any of these for residents.
Your data is yours
- Everything on your estate, from notices and issues to posts, documents and poll results, belongs to the estate and its residents. We hold it to run the service, nothing more.
- Under UK GDPR you are the controller of the resident data on your estate and we are your processor, under the data-processing terms in the privacy policy and the written agreement we sign with every estate.
- You can export everything the estate holds at any time, in open formats, from the admin console or on request. If you leave, we give you a full export and delete the estate's data 90 days after the subscription ends, unless you ask for it sooner.
If the subscription lapses
We never lock residents out of their own records. If a payment fails or the subscription ends, the estate has a 60-day grace period with everything working, then becomes read-only with a notice in the admin console: residents can still read notices and their issue history, but nothing new can be posted. Paying again restores it in full. The data stays available for export throughout, and is deleted only as described above.
What you agree to
- You invite only people with a genuine connection to the estate and keep the membership list accurate. Removing someone who has moved out is your job; the tools for it are in the admin console.
- You name at least one admin who is reachable by email, and you act on reports residents make within a reasonable time.
- You use Estate Hub lawfully, including your obligations as a landlord, management company or agent, and you do not use it to collect data you have no basis to collect.
- You do not resell the service or give access to people outside the estate.
What we agree to
- We keep the service running and secure, with data held in the United Kingdom or the European Union, access enforced in the database by the row, encryption in transit and at rest, and the sub-processors listed in the privacy policy.
- We aim for the service to be available at all times and tell you when planned maintenance will interrupt it. We answer support within one working day.
- We give at least 30 days' notice of any change to price, to these terms, or to a module being withdrawn, and 90 days' notice if we ever stop the service, with a full export in either case.
- We do not look at your estate's content except to run the service, to answer a support request you made, or where the law requires it.
Liability
Estate Hub is a communication and record-keeping tool. It is not a substitute for the estate's own duties: a reported issue is only as fixed as the estate makes it, a notice is only as read as the estate follows up, and nothing on Estate Hub is legal, safety or financial advice. We are not responsible for what residents or the estate post. Our total liability to the estate in any year is limited to the fees paid for that year, and neither side is liable to the other for indirect or consequential loss. Nothing in these terms limits liability that cannot be limited by law.
Part B: for everyone who signs in
Your account
- You need an invite from your estate to join. Keep your sign-in to yourself; a household member who needs access gets their own account from you or from the estate.
- You must be 16 or over to have an account. The estate may add children's names to a household so that staff know who lives where, but children do not sign in.
- You can delete your account at any time from the app. Your name comes off everything you wrote; issue records and acknowledgements the estate needs stay, without your name.
How to behave
Estate Hub is a shared space for people who live next to each other. So:
- Be civil. No harassment, threats, discrimination or doxxing, and no posting other people's private details, photos of them, or their flat numbers without their consent.
- No commercial advertising, no spam, no scams. The marketplace is for neighbours, not traders; parking listings are for spaces you are entitled to let.
- Report problems to the estate through Requests, not to the whole feed, unless neighbours are affected. Do not post anything unlawful, or that infringes someone's copyright.
- Do not try to get round access controls, scrape the service, or use automated tools on it.
Moderators on your estate can hide or remove content, mute or suspend accounts, and must say why. You can appeal to the estate's admin, and anything removed for moderation is kept for 30 days so the appeal can be checked. We may suspend an account that puts the service or other users at risk.
Content you post
What you post stays yours. You give the estate and us the permission needed to show it to the people you chose to show it to, to store it, and to keep the estate's records. You are responsible for what you post. If you post a photo of a shared area to report a problem, that is fine; if you post a photo of a person, ask them first.
The service
We provide Estate Hub as it is, improving it over time. Some modules may be switched off on your estate; that is the estate's decision. We may change or withdraw features with notice to the estate. Nothing on Estate Hub is advice from us, and we are not a party to anything you buy, sell, lend or let through it.
General
- These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
- If part of these terms turns out to be unenforceable, the rest still applies.
- These terms, the privacy policy and, for the estate, the signed agreement are the whole arrangement between us. Where they differ, the signed agreement wins.
Changes
If these terms change in a way that matters, the estate gets 30 days' notice and the app shows residents the new version. The date at the top is always the date of the current version.
